Job Summary

We are seeking a detail-oriented, professional, and proactive individual to join our team as a Client Services & Administrative Support Associate. This role is essential in delivering an exceptional client experience while ensuring smooth day-to-day operations of the firm. The ideal candidate is organized, communicative, and thrives in a dynamic, fast-paced environment. This position is fully in-office at our Pleasant Hill, CA location.

 

Key Responsibilities

 

Client Services:

- Serve as the first point of contact for clients via phone, email, and in person.

- Manage client onboarding, scheduling, and document requests.

- Maintain strong client relationships through timely communication and follow-up.

- Support client inquiries related to billing, services, and general firm information.

 

Administrative Support:

- Manage calendars, schedule internal and external meetings, and coordinate office activities.

- Prepare correspondence, proposals, engagement letters, and reports.

- Maintain organized electronic and physical filing systems for client and firm records.

- Oversee daily office operations, including ordering supplies and coordinating with vendors.

- Ensure the office environment is welcoming, professional, and client-ready at all times.

 

Executive Support:

- Work closely with the CEO to support scheduling, communications, and administrative tasks.

- Assist with follow-ups, reminders, and project coordination to help manage executive priorities.

- Provide logistical and administrative support for internal and external meetings and events.

 

Qualifications:

- Associate’s or Bachelor’s degree in Business Administration or a related field preferred.

- 1–3 years of experience in client service or administrative roles (professional services experience a plus).

- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

- Experience with CRM systems or workflow tools is a plus.

- Excellent verbal and written communication skills.

- Strong organizational skills with the ability to manage multiple tasks and deadlines.

- Ability to maintain confidentiality and handle sensitive information.

- Team-oriented with the ability to work independently.
